Refund Policy

How trials, cancellations and refunds work for GearLogs subscriptions.

The honest structure first: GearLogs is invite-only and designed so you can evaluate it properly before paying — we grant trial periods that require no payment details — and you can cancel easily at any time. Refunds exist for the cases where something genuinely went wrong.

1. Try before you pay

Access to GearLogs is by invitation. When we onboard your organization we can grant a trial period — typically thirty (30) days — with no payment method required. Use it with your real inventory: the best refund is the charge that never happened. When a trial ends without a subscription, your workspace becomes read-only and your data stays visible and exportable for twelve (12) months, exactly as it would after a cancelled subscription, before deletion with at least thirty (30) days’ advance notice by email.

2. Cancel anytime

Cancelling stops future charges; your subscription stays active until the end of the period you already paid for, and you can undo the cancellation at any point before then. After a subscription ends, your workspace remains read-only and your data stays exportable for twelve (12) months before deletion, with at least thirty (30) days’ advance notice by email. No cancellation fees, no retention call.

3. When we refund

  • Errors and duplicates — double charges, charges after a completed cancellation, or clear billing mistakes: refunded in full, promptly.
  • Renewal surprise — if an annual subscription renewed and you tell us within fourteen (14) days without meaningful use of the new period, we refund the renewal.
  • Where the law says so — mandatory consumer rights in your jurisdiction are honored as a matter of course.
  • Judgment calls — anything else is at our reasonable discretion. Write to us; a real person reads it.

As a rule, partially used monthly periods and per-user charges for seats you chose to add are not refunded — proration on seat changes already keeps that fair: adding seats mid-period is charged only for the remainder of the period, and reducing seats takes effect at your next renewal.

4. How billing works

GearLogs subscriptions are billed and processed by Paddle, our merchant of record. Paddle handles payment, applicable taxes, and invoices, and their name may appear on your statement. Refunds are processed by Paddle back to the original payment method — allow a few business days for the payment network to catch up.

5. How to request one

Email [email protected] from your account email with the Paddle receipt or invoice number. We respond to every request.
